Our Client is a $2.8B Portland-based provider of financial products. The company’s offerings include: group and individual disability insurance, group dental and vision insurance, retirement plans products and services, and investment advice. Established 100 years ago, our Client offers the stability of an established firm with a collegial, high-touch service culture. We are looking for a Full-Time Staff Assistant II for an estimated 4+ month assignment in Downtown Portland, Oregon.
Facilitate and coordinate Independent Medical Examinations (IME’s) , Functional Capacity Evaluations (FCE’s), and Independent File Reviews (IFR’s) for Benefits Department and Administrative Review Unit.
Provide complex administrative support to department, department manager and corporate officer.
Principal Duties & Responsibilities:
Contribute to the company’s success through excellent customer service and meeting or exceeding performance objectives.
Coordinate and schedule time sensitive referrals working closely with vendors, analysts, claimants and Nurse Case Manager.
Coordinate vendor services including file copying, mailing, travel, lodging, translator services and accounting.
Monitor and document all phases of referral and provide timely status reports to involved parties.
Receive and prioritize incoming correspondence and phone calls. Respond to inquiries regarding status of evaluations and reports.
Prepare monthly, quarterly and yearly reports, drawing data from a variety of sources within and outside the department.
Demonstrated skills: Independent judgment; discretion; customer service skills; excellent written, verbal and interpersonal communication skills; detailed oriented; professional demeanor; basic math skills.
Ability to: Exercise independent judgment; maintain confidentiality; prioritize, organize and coordinate work assignments; use office equipment including PC, calculator, 10-key, fax, photocopy and transcribers; type 60 wpm; communicate and interact with persons at all levels in the organization, industry and community.
Working knowledge of: Industry, company and product terminology; department processes and procedures; department and company organization; operations and procedures; general accounting principles.
Knowledge of: MS Office Suite including word processing, Outlook, spreadsheet and presentation applications; confidential records maintenance.
Education: High School diploma or equivalent.
Experience: One year demonstrated customer service experience; demonstrated ability to complete a variety of high volume tasks timely and accurately; accurate keyboarding of 20-30 wpm; or the equivalent combination of education and/or relevant experience.
